Orders, stock, billing and payroll in one system
The ERP we built for businesses whose stores, sales, accounts and HR each keep their own version of the truth. One entry updates every record it belongs to, including the ones that decide a salary.

One record, read by every department
The ERP exists because of a pattern we kept meeting: stock on the system that does not match the godown, purchase orders raised for material already in stores, accounts waiting on production figures at month end, and attendance reaching payroll as a photograph of a register.
Each of those is the same problem. A transaction is entered once and then re-entered, in a slightly different form, by the next department. So the system is built around single entry: a goods receipt updates stock, the purchase order and the payable together, and a confirmed order reserves stock, prints the despatch note and raises the invoice.
HRMS sits inside the same system rather than beside it. Attendance is not a separate product with its own exports — it is the record payroll runs from, and the record a job's labour cost comes from.
It fits you if
- System stock and physical stock have stopped agreeing.
- Month end starts by chasing departments for numbers.
- GST returns are assembled from more than one file.
- Payroll is built by hand in the last two days of the month.
- Two departments keep a private register of the same thing.
What runs the order, the stock and the money
The transaction side of the system. Each screen below is a module as it stands today, drawn rather than captured.
Sales orders
An order is entered against a customer with their agreed price list, and the system checks stock as the lines are added rather than after the promise has been made. Short quantities are flagged at entry, which is where they can still be discussed.
Confirming the order reserves the stock, queues the despatch note, raises the invoice and posts the receivable. Nobody retypes any of it, which is the entire point of the module.
- Customer price lists and slab rates
- Live stock check while entering lines
- Approval limits for discounts
- Part despatch and back orders
- Order to invoice without re-entry
- Order status visible to sales
Stock
Stock is held per warehouse, with batch and serial tracking where the business needs it. Reorder levels raise a flag before a shortage becomes an emergency purchase at a bad rate.
Ageing is shown alongside quantity, because a pile of material that has not moved in four months is money sitting in a corner, and it rarely appears in a stock figure on its own.
- Multi-warehouse and site stock
- Batch, serial and expiry tracking
- Reorder levels with alerts
- Stock ageing and slow-moving reports
- Stock take with variance reporting
- Blocked and quarantined stock
Purchase and GRN
A purchase order travels a chain, and the system shows where it has reached. Goods received are checked against what was ordered, so short supply is recorded against the supplier instead of being absorbed quietly by the stores.
The payable is posted for what actually arrived. That single rule removes most of the arguments between stores and accounts at the end of a month.
- Indent to purchase order approval
- Goods receipt against the order
- Short and excess supply recorded
- Quality check before stock is accepted
- Supplier ledger and payables
- Rate comparison across suppliers
GST invoicing
Invoices carry the GSTIN, HSN codes, place of supply and the correct CGST, SGST or IGST split, with e-invoice IRN and e-way bill generated where the transaction requires it.
Because the invoice comes from the order, the returns are assembled from one set of records rather than reconciled from three. Filing stops being a two day exercise.
- Tax invoice, bill of supply and credit note
- HSN, place of supply and correct tax split
- e-Invoice IRN and e-way bill
- GSTR-ready summaries
- Print formats to your design
- Round-off and amount in words
Receivables
Outstanding is shown in buckets, oldest bill first, with the customer's full position beside it. Reminders go out from the system on a schedule you set, so following up does not depend on somebody finding the time.
Collection is where most growing companies lose the money they worked to earn. Making the list visible every Monday is most of the fix.
- Ageing buckets by customer and bill
- Automatic reminders on WhatsApp and email
- Credit limits and blocked dispatch
- Receipts and part payment allocation
- Collection forecast for the month
- Statement of account in one click
The people side, on the same records
Attendance, leave, payroll and employee files are modules of this ERP, not a second product that exports a spreadsheet into it.
Attendance
Biometric devices, and a phone with a location stamp for staff who are not at a desk, feed one attendance record. Shift patterns, late marks, half days and overtime rules are set once and applied the same way every month.
The muster is visible to the manager while the month is running, which is when a discrepancy can still be resolved with the person standing in front of you.
- Biometric and mobile attendance
- Shift, late mark and half day rules
- Overtime calculation to your policy
- Branch and department wise musters
- Holiday list and weekly off patterns
- Regularisation with approval
Leave
Leave is applied for in the system and approved by the right person, so the approval is a record rather than a WhatsApp message somebody has to remember. Balances are calculated from your policy and visible to the employee.
Most leave disputes end here, because the balance is arithmetic anybody can check rather than two people's recollection of March.
- Leave types to your policy
- Accrual, carry forward and encashment
- Approval chain with escalation
- Balance visible to the employee
- Leave calendar per department
- Loss of pay linked to payroll
Payroll
The run takes the closed attendance and approved leave and produces gross, deductions and net for every employee, with PF, ESI, professional tax and TDS handled inside it rather than added afterwards.
Locking the run generates the slips, the bank transfer file and the statutory registers from the same figures, so the numbers on all three agree by construction.
- Salary structures and revisions
- PF, ESI, PT and TDS in the run
- Arrears, advances and recoveries
- Bank transfer file generation
- Locked runs with an audit trail
- Full and final settlement
Payslips
Each employee gets a slip showing earnings and deductions separately, with the days paid and the net in words. Staff download their own from the self service view instead of queueing at the HR desk on the first of the month.
A slip that can be explained line by line is what ends most salary arguments before they reach a manager.
- Earnings and deductions in full
- Days paid, leave and overtime shown
- Net in words, for signature copies
- Self service download
- Email or WhatsApp delivery
- Form 16 and annual statements
Employee records
Appointment letter, identity documents, bank mandate, qualifications, confirmation and increments sit in one file per employee, with the gaps visible rather than discovered during an inspection.
Joining and exit both run as checklists from the same record, which is what stops a leaver keeping access, or a settlement being calculated twice.
- Personal, statutory and bank details
- Document checklist with expiry alerts
- Salary structure and revision history
- Confirmation, transfer and increment letters
- Joining and exit checklists
- Access removed as part of the exit
Module by module, with a parallel run
The system is built; the project is scoping, masters, migration and the first closings.
- 01
Understand
Walk the floor
We follow a purchase, a production batch, a despatch and a salary run as they happen today, including the registers nobody put in the official diagram.
- 02
Strategize
Sequence the modules
Which module goes first, what the system must enforce against what it should only record, and the cut off date. Agreed in writing before configuration.
- 03
Build
Masters, migration, parallel run
Item and party masters, warehouses, approval limits and salary structures are set up, opening balances and stock are loaded against a physical count, and the old process keeps running beside it.
- 04
Optimize
Close the first months
We stay through the first month ends and the first two payroll runs, correcting entries, tightening reports and removing the parallel registers once the figures hold.
- 05
Scale
Add branches and companies
New warehouses, branches, product lines or a second company join the same setup, reusing the masters and rules already agreed.
