Every enquiry has an owner and a next date
The CRM we built, and keep building, for businesses whose enquiries arrive on four channels and get followed up from memory. Configured to your stages, loaded with your data, on your team's phones.

A working system, not a proposal
Most CRM projects start from an empty screen and a long list of decisions. This one starts from a system that already runs: the stages, the follow-up rules, the quotation format and the reports exist, and the work is fitting them to how you sell rather than inventing them from scratch.
It was built for businesses where enquiries arrive from a website form, a phone call, a WhatsApp message and somebody walking in, and where the person who took the enquiry is not always the person who closes it. Everything in it is arranged around two questions: who owns this, and what happens next.
You can take it as it stands, or we change what does not fit. Stages, fields, quotation layout, approval limits and reports are configuration, not a rebuild, which is why a rollout is measured in weeks.
It fits you if
- Enquiries reach you on more than two channels.
- More than one person follows up the same customer.
- Quotations are made in Excel and revised over WhatsApp.
- Nobody can say which source actually brings orders.
- A salesperson leaving takes the history with them.
What is in the Sales CRM
Every screen below is part of the system as it stands today. Drawn rather than captured, because a real capture would show a client's customers.
Enquiry inbox
Website forms, missed calls, WhatsApp messages and walk-ins land in one list with the source recorded against each. Nothing is assigned to "the team": every enquiry gets a named owner, automatically by rule or manually by a manager.
The list is the working screen for a salesperson's morning. It sorts by what is overdue, not by what arrived last, so the enquiry from four days ago does not quietly sink below today's.
- Web form, WhatsApp, call and walk-in capture
- Source recorded on every enquiry
- Automatic or manual owner assignment
- Duplicate detection on phone number
- Overdue first, not newest first
- Bulk assignment for campaign bursts
Pipeline
The board is your sales process, not a template. Stages are named after what actually happens in your business, with rules for what must be true before a deal can move, so two people never disagree about where something stands.
Each card carries the value, the owner and the next date. A deal with no next date is the thing the system is designed to make visible, because that is the one that gets lost.
- Stages configured to your process
- Entry and exit rules per stage
- Value, owner and next date on every card
- Stale deal highlighting
- Drag to move, with a reason on loss
- Separate boards per team or branch
Customer record
Calls, site visits, quotations, revisions and WhatsApp threads sit against the customer, with the date and the person. When a salesperson is on leave or leaves the company, the next person picks up a conversation rather than starting one.
The panel on the right is the part managers use: what the next action is, when it is due, and who owns it. Nothing in the system is allowed to sit without one.
- Full activity timeline per customer
- Call logging with duration and notes
- Documents and quotations attached
- Next action date, enforced
- Reassignment without losing history
- Repeat order history for existing customers
Quotations
Quotations are built from your item list and price rules, in your format, and sent as a PDF or straight to WhatsApp. Each revision is kept, so what was promised in revision two is still there when the customer refers to it in June.
Because the quotation sits on the deal, the value in your pipeline is the value you actually quoted, which is what makes forecasting worth doing at all.
- Item masters with price lists and slabs
- Tax, discount and freight handling
- Revision history kept in full
- PDF and WhatsApp delivery
- Approval limit before a discount goes out
- Quoted value flows into the forecast
Reports
Three questions get asked in every sales review: what is in the pipeline, which source brings real buyers, and which deals have gone quiet. The reports answer those first, and everything else second.
Because the source is recorded at capture, marketing spend can finally be judged on orders rather than on clicks. That is usually the report that changes a budget.
- Conversion by source, down to the campaign
- Salesperson performance and activity
- Reason-for-loss analysis
- Ageing and stale deal lists
- Monthly and quarterly comparison
- Exports for your own analysis
On the phone
Field sales do not open a laptop in a customer's yard. The phone view gives them today's calls in order, two-tap call logging, and the ability to raise a quotation before leaving the premises.
Entry is deliberately short. A CRM that demands a long form for one phone call is a CRM that stops being updated by the second week.
- Today's follow-ups in order
- Two-tap call logging
- Quotation from the phone
- Works on a weak connection
- Location stamp on site visits
- Notifications only for what is due
Live with one team in weeks, not quarters
The system exists, so the project is configuration, migration and habit rather than construction.
- 01
Understand
Trace recent deals
We follow a handful of won and lost deals end to end, and list where enquiries arrive, who touches them and where they stall today.
- 02
Strategize
Agree stages and fields
Your stages, entry rules, quotation format, price rules and the three reports your review actually needs, settled before anything is configured.
- 03
Build
Configure, migrate, connect
We configure the pipeline, clean and load your contact history, and connect the website form, calls and WhatsApp so capture is automatic from day one.
- 04
Optimize
Tune after real use
After a few weeks we look at where deals pile up, which reminders get ignored and which fields nobody fills, then cut or change them.
- 05
Scale
Add teams and branches
New salespeople, product lines or branches join the same pipeline, with their own boards and targets where that is what you need.
